This policy explains how Telos Marketing Group Ltd (“we”, “us”) collects and uses personal data when you use teloskinetics.com or contact Telos Kinetics. Telos Kinetics is a trading name of Telos Marketing Group Ltd, a company registered in England and Wales (company no. 17486770). We are the controller of your personal data.
What we collect
Enquiry and audit requests: your name, email address, company or venue name, and anything you write in a form.
Case-study downloads: your name and email address, so we can send you the PDF.
Website analytics: if you accept analytics cookies, pages visited, device and browser type, approximate location (town or city) and how you found the site, collected by Google Analytics 4.
Emails and calls: what you send us and our replies.
Climbing Wall Visibility Scorecard
When you complete our scorecard we collect your answers, your town, your website or Google Maps link if you give it, and the name, email address, venue name and (optionally) phone number you enter at the end. We use this to show and email you your results, to prepare any audit you ask for, and to reply to you personally. Our lawful basis is your request (taking steps at your request) and our legitimate interest in responding to enquiries.
We only send you follow-up marketing emails if you tick the consent box. We record when you gave consent and the wording you saw. You can unsubscribe at any time using the link in every email. If you give a phone number we may call you about your results; we check numbers against the Telephone Preference Service before calling and you can ask us not to call.
We keep scorecard records for up to 24 months after our last contact with you, unless you become a client. Emails are sent through our email service provider, which processes your email address on our behalf.

Who we share it with
We do not sell personal data. We use trusted suppliers to run the business: our web host (Hetzner Online GmbH, servers in the EU), Google (Analytics and Workspace), and our email provider. Each acts on our instructions under a data processing agreement. Where data leaves the UK, we rely on UK adequacy regulations or the International Data Transfer Agreement.
How long we keep it
Enquiries that don’t become clients: up to 24 months after our last contact.
Client records: 6 years after the contract ends (for tax and legal purposes).
Analytics data: 14 months.
Your rights
You can ask us to access, correct, delete or restrict your data, object to how we use it, ask for a copy in a portable format, or withdraw consent at any time. Email hello@teloskinetics.com and we will reply within one month. You can also complain to the Information Commissioner’s Office at ico.org.uk.

How we manage enquiries (Telos CRM)
Enquiries from this website are stored in our customer relationship system, run by Telos Marketing Group Ltd on our own servers in the UK/EU. We use it to reply to you, keep a record of our conversations, and follow up where you have agreed to that or where the law allows it for business contacts.
Public business information. To prepare a useful reply we may look up publicly available information about your business: your Google Business Profile (rating and number of reviews), nearby competitors on Google Maps, your website (for example whether it has analytics or booking tools), its mobile speed score, your town’s population, and your Companies House record. This helps us understand your market and also tells us whether we may email your business under the rules for limited companies. Our lawful basis is legitimate interests.
Emails from us. Our sales emails are sent from a named person’s mailbox. We record replies, and clicks on links (through a redirect on our own domain), so we know when to stop or follow up. We do not use hidden open-tracking pixels. Every marketing email has an unsubscribe link, and we keep a suppression list so you are not contacted again.
Website visits. If you choose “Analytics only” in our cookie banner, we record the pages you view without identifying you, and we may identify the organisation behind an office network (never a home or mobile connection) from your IP address, which we store only in scrambled (hashed) form. If you choose “Accept all”, we also set a first-party cookie (tk_vid) so that, if you later send us an enquiry, the pages you viewed can be linked to it. You can change your choice at any time using “Cookie settings” in the footer.
Retention and your rights. Anonymous visit data is deleted after 13 months. Enquiry records are reviewed after 24 months of no contact. You can ask us for a copy of your data, or to delete it, at any time by emailing us.
